A machine shipment needs a handling plan as well as a vehicle. When a Turkish manufacturer buys equipment from an Italian supplier, the transport brief should describe how the machine will leave the seller's premises and how it will be received at the destination.

/ 01Record the machine in its transport condition
Use dimensions and weights for the machine as it will actually travel. A catalogue may describe operating dimensions without the crate, pallet, protective frame or detached accessories. Identify the main unit and each separate package, with its packed dimensions and gross weight.
Ask the supplier to identify approved lifting points, the centre of gravity where relevant and any restrictions on tilting or securing the equipment. Include photographs and handling instructions. Transport staff should not have to infer safe lifting points from the machine's appearance.
For example, an enquiry for a packaging machine collected near Bologna and delivered to a factory in Bursa should identify the packed main unit, any separate control cabinet and any tooling crates. This is an illustrative booking brief, not a description of a completed CANXANSA shipment. The same discipline applies whether the delivery is in Bursa, Istanbul or another Turkish industrial location.
/ 02Agree who prepares and loads the equipment
Clarify who disconnects the machine, removes fluids if required, secures moving parts and supplies suitable packaging. Identify batteries, oils, gas cylinders or other components that may affect transport acceptance. Their presence should be assessed before a vehicle is assigned.
Confirm whether collection requires a crane, forklift, loading ramp or another method. Give the forwarder the available equipment's capacity and access details. A transport booking should not be assumed to include dismantling, lifting or installation unless those services are expressly agreed.
Name the person responsible for releasing the machine, the loading contractor and the receiving contact. Confirm that the cargo, equipment and people will all be available within the same loading window.
/ 03Choose transport around the load
For a machine collected in Italy and delivered to Türkiye, ask the forwarder to compare a road movement with any suitable ferry-assisted routing. The collection postcode matters: a factory near Milan and a supplier elsewhere in Italy may need different collection arrangements. Confirm the actual routing in the offer rather than assuming every Italy–Türkiye load follows the same journey. The proposed vehicle depends on packed dimensions, weight, loading method and route feasibility. Air freight may be an option for urgent components, while sea transport may be considered for suitable larger or less urgent consignments.
Oversized or heavy machinery needs a separate feasibility review. Do not assume a standard trailer can carry it, or that a quoted journey time includes the arrangements needed for a non-standard load. Ask what must be confirmed before the departure date can be committed.
/ 04Separate transport from import readiness
Give the importer and customs representative an accurate description of the equipment, including whether it is new or used, model information and the commercial documents. Ask them to confirm the applicable import and product requirements before collection. A machine being ready for transport does not by itself establish that it is ready for import.
The European Commission describes the EU–Türkiye trade arrangements. The rules applicable to a particular machine still depend on its classification and circumstances; confirm these with the customs representative rather than treating a corridor guide as shipment-specific clearance advice.
/ 05Plan the delivery handover
Check the destination gate, yard access, unloading position and receiving hours. Establish who supplies unloading equipment and who moves the machine from the vehicle into the building. Delivery to a site and placement on a production line are different scopes of work.
Agree how condition will be recorded at collection and delivery. Discuss cargo insurance with the equipment value and shipment details available, and confirm the cover and exclusions before dispatch.

- Supplier and consignee addresses, with loading and delivery contacts.
- Machine description, new or used status, and number of packages.
- Packed dimensions, gross weights, photographs and handling instructions.
- Available lifting equipment and site access restrictions at both ends.
- Ready date, required delivery window and agreed commercial terms.
- Customs arrangements, cargo value and any insurance request.
